The role of record management in promoting good corporate governance at the Road Traffic Training Academy in Gauteng Province, South Africa
Mokgehle, Rudolph Matlou
Record management has a very strong influence in determining as to whether organisations are doing what was supposed to be done, with requisite allocated resources, by following prescribed procedures and regulations in achieving their organisational mandate, thus governance. This study explored the role of record management in promoting good corporate governance at the Road Traffic Training Academy in Gauteng Province, South Africa, by adopting an exploratory research design based on the qualitative research approach. A non-probability purposive sampling was adopted to sample the whole population of 21 participants, comprising seventeen (17) Administrative staff dealing with records at RTTA and four (4) Unit Managers responsible for the four RTTA units. Semi-structured interviews were used to collect data, using an interview guide as a data collection tool, and 100% participation was secured. The collected data was analysed using thematic data analysis. The findings indicated that, record management at RTTA lacks systematisation, policy, procedures and proper training. Furthermore, the study revealed that RTTA’s functions rely heavily on good stakeholder engagement, sustained by the provision of records for accountability and transparency to prove good corporate governance. The study revealed RTTA records management challenges such as a lack of professional records practitioners, haphazard records management systems, loss and misplacement of records, lack of record management training programmes, poor management support for record management programmes; and lack of formalised systems such as policies and regulations. Thus, it hampers good corporate governance. Possible solutions suggested were that record management systems such as filling plans, records appraisal, and disposal schedules. Thus, amongst other recommendations, the study provided that the record management practices at RTTA adhere to the legislative frameworks that govern record management in South Africa, as well as observing the international best practices.

The use of facebook by the National Library of South Africa to promote library services
Talane, Temoso Desiree
The study aims to explore the use of Facebook to promote library services by the National Library of South Africa (NLSA). The researcher conducted this study at the National Library of South Africa, at the Pretoria Campus. The study employed the interpretivist paradigm, descriptive research design and qualitative research approach. Semi- structured interviews were used to collect data from three participants, whereas content analysis was utilised to evaluate forty Facebook content records from the NLSA Facebook page. The researcher presented the data using thematic analysis and direct quotations. The findings revealed that participants used Facebook to disseminate important updates to users regarding library operations, including announcements such as closures, celebration of commemorative days, provision of general information, and fostering ongoing communication with users. Moreover, the findings from the analysis of Facebook content revealed that the majority of content posted on the NLSA Facebook page is announcements and notices, followed by pictures of the events and vacancies. However, information about library resources such as books, articles, and journals, as well as services such as bibliographic services and collection management, information access service, and reference services, was not updated at the time of data collection on the NLSA Facebook page. The study concluded that Facebook plays an essential role in promoting library services, enhancing community engagement and library visibility. The strategic approach to content creation and user interaction is vital. Moreover, the study recommended that NLSA should post a mix of content, including library resources and library services within the library, to increase content variety. The study further recommended that participants instigate strategies to better manage negative feedback and unauthorised content.

The application of artificial intelligence in cataloguing by the City of Tshwane libraries
Mabote, Morakana Floderica
The aim of the study was to explore the adoption of artificial intelligence (AI) in cataloguing by the City of Tshwane libraries (CoT). The objectives of the study were to determine the knowledge of the CoT libraries cataloguers about AI, to explore the attitudes of the CoT libraries cataloguers about AI, to establish the readiness of the CoT libraries cataloguers in adopting AI in cataloguing, to identify the challenges that the CoT libraries cataloguers are experiencing in the adoption of AI and to explore the cataloguing practices using AI at the CoT libraries. The study took place within the cataloguing division of the CoT Community and Social Development Services (CSDS). The study embraced the interpretivism research paradigm and employed qualitative research methodologies, including research design, sampling techniques, defining the study’s population, outlining data collection procedures, delineating data analysis strategies, and establishing quality criteria. The research methodology involved conducting an in-depth interview with six cataloguers from the CoT libraries. Thematic analysis and direct quotations were used to analyse the collected data. The findings indicated that older participants reported limited knowledge of AI, whereas younger participants described it more comprehensively. All participants were optimistic about AI’s potential to improve productivity and accuracy in their work. Additionally, they all used SirsiDynix Symphony WorkFlows, OCLC, and WebDewey for cataloguing and desired improvements, particularly in detecting duplicate ISBNs. In conclusion, the insights provided by participants offer valuable considerations for the integration of AI-driven solutions within the CoT cataloguing section. The thorough understanding of cataloguing workflows lays a solid foundation for leveraging AI technologies to enhance efficiency and accuracy in cataloguing operations. The recommendations outlined in response to participants’ insights aim to support the CoT cataloguing section in optimising cataloguing practices and embracing innovative solutions such as AI technologies. It is further recommended that the CoT cataloguing section should initiate targeted education, awareness programs, training and AI skill acquisition. These initiatives should aim to bridge the knowledge gap and alleviate any scepticism or reluctance towards AI integration, particularly among the older generation of cataloguers.

Artificial intelligence to support public hospitals' records management in Tshwane Municipality Gauteng Province, South Africa

Artificial intelligence to support public hospitals' records management in Tshwane Municipality Gauteng Province, South Africa
Ledwaba, Raisibe Florence
In recent years, there has been an outcry by the South African citizens over government’s poor service delivery which includes service delivery in hospitals. One of the main causes of poor service delivery in hospitals has been indicated by different sources as being poor records management which usually leads to long waiting period in queues by patients before they can get medical attention. This study investigated the use of artificial intelligence (AI) to support public hospitals’ records management in Tshwane Municipality Gauteng Province, South Africa. The study was guided by the following objectives: To establish how records are managed in Tshwane public hospitals; to determine records management functions that could be executed using AI; to determine the perceptions of records officials and nurses in Tshwane public; to identify the skills necessary for adopting AI technology in Tshwane public hospital and lastly to propose adoption of AI technology to support records management in public hospitals of Tshwane Municipality. The Technology Acceptance Model and Records Continuum Model theoretically underpinned this study. A quantitative research approach which is guided by the positivism research paradigm was adopted in this study. Simple random sampling was used to sample a population of 297 consisting of records officials and nurses only, from Steve Biko Academic Hospital and Kalafong Tertiary Hospital which resulted in a sample size of 168 respondents after being calculated using the Raosoft sample size calculator. The collected data was analysed using a computer-assisted statistical software of IBM-SPSS called Statistical Package for Social Sciences (SPSS) version 26 for Windows. The study found that the current state of records in both hospitals was not satisfactory, leading to unacceptable long waiting periods by patients. The findings of the study revealed that AI could have a positive impact in improving these records management challenges. Further findings in the study indicated that AI for records management can improve the hospitals’ service delivery. Recommendations made in the current study was that the hospitals must consider the current workflow and challenges faced by patients seeking medical attention due to long waiting period caused by poor management of records and implement a system that will mitigate the current problem faced by public hospitals in Tshwane Municipality with regards to the management of records. Further recommendations were that different institutions who manage large volume of records, consider the implementation of AI technology to overcome records management challenges and poor service delivery. The implementation of AI for managing records in hospitals could assist the Department of Health in improving their hospitals’ service delivery, including long waiting period by patients and the management of records in public hospitals.
